General Information
  • Earnings codes consist of three characters and identify the type of earnings processed for an employee.
  • Some earnings codes are only for specific agencies. 
  • Only earnings codes valid for the employee's FLSA/Appointment Type combination will be available for use.
  • Under Time Code Maintenance, each agency's Central Payroll Officer (CPO) can designate which time codes the employees will see and the display order.
  • Some earnings codes have been locked by the Division of Statewide Payroll (DSP) and are only coded on an employee's time sheet by an I-Time CPO.
  • Some earnings codes cannot be coded together (i.e. ACT and REG).
 
Note:  If an employee codes more leave than is in their available balance, the system will use the following defaults to ensure the employee has exhausted all applicable leave balances before converting to leave without pay.
 
Standard Leave
 
SIC -> GDC -> GDE-> GDH -> GDV -> GDL
 
VAC -> GDC ->GDE-> GDH -> GDL
 
RHT -> GDC ->GDE-> GDV -> GDL
 
CPT -> CET -> GDH -> GDV -> GDL
 
 
Family Medical Leave
 
FMS -> GMC -> GME -> GMV -> GML
 
FMV -> GMC -> GME -> GML
 
FMC -> FME-> GMV -> GML
 
When an employee reaches their maximum hours of 480, the above Family Medical Leave Codes will convert to the following leave codes:
 
FMS -> GDS -> GDC -> GDE -> GDH -> GDV -> GDL
 
FMV -> GDV -> GDC -> GDE -> GDH -> GDL
 
FMC or FME -> GDC -> GDE -> GDH -> GDV -> GDL

 

Family Medical Paid Parental Leave

When an employee reaches their maximum FMLA hours of 480, the Family Medical Paid Parental Leave Code will convert to the following leave code if employee has not reached the Parental Leave max of 320.0 hours:

FMP -> GDP

 
Family Service Member Leave
 
FSS -> GSC -> GSE-> GSV -> GSL
 
FSV -> GSC -> GSE-> GSL
 
FSC -> FSE -> GSV -> GSL 
 
When an employee reaches their maximum hours of 1,040, the above Family Service Member Leave Codes will convert to the following leave codes:
 
FSS -> GDS -> GDC -> GDE -> GDH -> GDV -> GDL
 
FSV -> GDV -> GDC -> GDE -> GDH -> GDL
 
FSC or FSE -> GDC -> GDE -> GDH -> GDV -> GDL
 
 
On-the-Job-Accident Family Medical Leave    
 

FJS  -> GAC -> GEC -> GAV -> GAL

FJV -> GAC -> GEC -> GAL

FJC -> FJE -> GAV -> GAL

 
When an employee reaches their maximum hours of 480, the above Family Medical Leave Codes will convert to the following leave codes:
 

FJS -> GJT -> GJC -> GJE -> GJH -> GJV -> GJL

FJV -> GJV -> GJC -> GJE -> GJH -> GJL

FJC or FJE -> GJC -> GJE -> GJH -> GJV -> GJL

The following default earnings codes will be generated when an employee codes more leave than their available balance:
